Role Summary: The role of Nursing Home Office Manager is to oversee and be responsible for the overall management of the office operational procedures within the Nursing Home including administration, customer service and all ancillary functions including HR, Finance, Catering, Cleaning, Rostering and Maintenance functions.

Responsibilities and duties will include but are not limited to

  • Maintain office efficiency by maintaining appearance of common areas, organising procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment.
  • Oversee the day-to-day activities of the Nursing Home and dealing with any issues as they arise.
  • Liaise with the HR department to ensure adherence to all statutory requirements and Sonas HR policies and procedures.
  • Ensure that all the statutory requirements for new staff are completed and HR check list is sign off
  • Present the HR check list and staff file to PIC for sign off.
  • Schedule staff EDPs, probation assessments, etc and send reminders to the management team as to when they are due.
  • Support with preparation of fortnightly rosters and schedule of hours worked by staff to facilitate payment of wages by the payroll department.
  • Attend and take minutes of meetings with the management team on HR related matters.
  • Establish and maintain all records for the Nursing Home including: - employee and resident details, payroll related reports, fees, cheque journals, lodgements, payment records and petty cash in line with internal procedures.
  • Create and process all supplier and customer invoices/receipts and lodge payments to Bank as per Sonas policy.
  • Manage resident’s accounts, suppliers’ invoices, payroll and all financial related matters
  • Responsible for cash collection and debtor’s management.
  • Ensure all residents set up “Standing Orders” through their bank for the payment of fees.
  • Submit monthly claims for “Fair Deal” to HSE.
  • Review weekly budget tracker to ensure the Nursing Home is in line with budgets set out.
  • Prepare financial reports for figures for monthly report for Person in Charge and Quality Manager.
  • Support in the management of the home operations as agreed with the Quality Manager and the PIC and/or Director of Nursing. This includes assistance in the management of issues as they arise, rosters and day-to day work flows in catering, household and maintenance departments.
  • Attend monthly home governance meetings and/or prepare data related to the role responsibilities for same.
  • Due to the nature of our business, flexibility with rostered days and hours of work is required.

Education & Qualifications:

  • Degree in Business/Marketing/Administration is desirable.
  • In pursuit of a third level degree or vocational course in the areas of business studies, administration and/or marketing is preferable.

Skills and Experience:

  • Proficient in MS Office packages.
  • 2+ years of office management experience
  • Strong time-management and people skills, flexibility, and multitasking ability
  • Advanced computer skills and experience with online platforms
  • Proficiency Microsoft Office, with aptitude to learn new software and systems
